Maintenance guide

Billing frequency is not service frequency

The best-performing maintenance model in the trade is simple: the homeowner pays a small amount monthly, and a tech visits twice a year. Twelve billing events, two service events. It works precisely because the two schedules are different, and it breaks in any system that assumes they are the same.

Why bill monthly

  • A small monthly charge joins the ranks of unexamined subscriptions
  • Renewal becomes continuous instead of an annual yes-or-no moment
  • Cash flow smooths across the shoulder seasons
  • The kitchen-table ask shrinks from three figures to two

Why service seasonally

  • Cooling equipment needs attention before summer; heating before winter
  • Visit capacity is a real constraint: seasonal scheduling spreads the load
  • Two thorough visits beat four rushed ones for both findings and cost
  • The seasonal cadence gives reminders a natural, expected rhythm

Where software gets it wrong

Most field service platforms model a maintenance plan as a recurring job: every billing cycle spawns a visit, or every visit triggers a bill. Under that assumption, monthly billing with semiannual visits requires workarounds: dummy jobs, manual tracking, a spreadsheet on the side. The workaround becomes the failure point, and members quietly miss visits nobody noticed were due.

What the right model looks like

Billing interval and service interval are two independent settings on the plan tier. The subscription bills on its schedule through the payment processor. The service engine rolls the visit period forward from the activation date, computes when the next visit is due, marks agreements overdue when the window is closing, creates the maintenance job automatically, and invites the customer to book it. Neither schedule ever needs to know about the other.

When the two intervals are truly independent, the $19-a-month, two-visits-a-year program stops being a workaround and becomes a checkbox, and the office stops being the memory that holds the program together.

Bill monthly. Service quarterly. One setting.

AirMatch treats billing interval and service interval as independent settings per plan tier, tracks the visits automatically, and reaches out when they come due.
