How to increase maintenance agreement renewals
Renewal is not a moment; it is the residue of the year that preceded it. Members who received every promised visit, saw the value documented, and were never asked to do the program's work for it renew almost by default. Members who had to call and ask where their tune-up was do not.
The renewal killers, ranked
- The missed visit: the member paid, nobody came, nobody noticed

Deliver every visit without heroics
The operational core is unglamorous: know which agreements are due, create the visit before it is overdue, and make booking effortless. This is exactly the work that falls apart at scale when it lives in a spreadsheet, and exactly the work software should do: compute due dates from the activation anniversary, flag the overdue window, spawn the job, and send the member a self-booking link.
Make the value visible
- Complete the tier's checklist on every visit, with photos in the record
- Send a job summary after each visit: what was checked, what was found
- Show the member their history and next due date in the portal
- When the inspection catches something early, say so in writing (this is the program paying for itself)
Structure the program to renew
- Bill monthly so renewal is continuous rather than an annual event
- Auto-renew with a clean cancellation path (trapped members churn loudly)
- Watch payment health and fix failing cards before they become lapses
- Ask for the review after the visit, while the goodwill is fresh
